Job Summary: The Center Administrative Assistant greets visitors entering the center, interacts with families, and insures that children are signed in for the day and leave with an approved adult. This role is responsible for the completion of administrative tasks such as copying, faxing, filing paperwork, accepting and distributing mail, and ordering supplies.
Essential Functions/Key Responsibilities:
- Maintain a professional representation of the center by welcoming visitors with positive communication skills at all times.
- Acts as the main contact for anyone outside the center, takes phone calls and emails, directing them appropriately. supplies, and accepting tuition payments.
- Distribution of communication sent home to families.
- Maintain the parent and staff boards up to date with current information. Support school readiness and parent engagement activities.
- Responsible for the completion of the daily bus attendance reports and center attendance reports
- Distributes weekly attendance sheets to all classrooms.
- Provides administrative support in activities such as the preparation of reports, center updates, development and implementation of new forms, filing, and center supply requests.
- The Center Administrative Assistant is responsible for computer input and processing of enrollment applications, documentation and submission of volunteer paperwork, recording children’s attendance and submitting daily meal counts, and initiating follow-up on children’s attendance.
- Maintain the parent and staff boards up to date with current information. Support school readiness and parent engagement activities.
- Other duties as assigned based on program needs.
Skills & Qualifications:
- Must possess excellent verbal and written communication skills (bilingual proficiency preferred).
- Superior customer service skills required.
- Show documented proof of current physical exam, negative TB test, and proof of MMR immunity. (Proof of Hepatitis B immunity is advisable).
- Background Record check will be completed prior to employment.
- Ability to work effectively with and meet the needs of people from a diverse range of backgrounds, cultures, and identities, including underserved communities and people from the different racial groups, socioeconomic statuses, nationalities, and languages that make up GLCAC’s clientele, to support the agency’s mission of building a more diverse, equitable and inclusive organization for employees and clients alike.
